PRIVACY NOTICE
- INTRODUCTION
1.1 This Privacy Notice explains how the South African National Space Agency (‘’SANSA’’) obtains, uses and discloses your personal information, in accordance with the requirements of the Protection of Personal Information Act (No.4 of 2013). SANSA was established in terms of the South African National Space Agency Act (Act No. 36 of 2008), as amended. SANSA is a Schedule 3A Public Entity in terms of the Public Finance Management Act (No.1 of 1999 as amended by Act 29 of 1999).
1.2 SANSA is committed to protecting your privacy and to ensure that your personal information is collected and used properly, lawfully and transparently.
1.3 SANSA takes your privacy and the protection of your personal information seriously, and SANSA will only use your personal information in accordance with this notice and applicable legislation. This Privacy Notice outlines how your personal information will be used by SANSA and applies to personal and special personal information that you provide to us or which SANSA may collect about you from third parties. It is important that you read this Privacy Notice carefully before submitting any personal information to SANSA. By submitting personal information to SANSA, you provide consent to the processing of your personal information, as outlined in this Privacy Notice. Please do not submit any personal information to SANSA if you do not agree to any of the provisions of this Privacy Notice. If you do not consent to the provisions of this Privacy Policy, or parts thereof, SANSA may not be able to enter into, or continue, its business relationship with you.
1.4 SANSA cares about your personal information. Therefore, SANSA provide you with this Privacy Notice so that you may make an informed decision about whether or not you would like to continue using the website. This notice regulates the manner in which SANSA collects, uses, discloses, transfers and stores your personal information.

2.1 You hereby indemnify and hold SANSA harmless from any loss, damage or injury that you may incur as a result of:

2.1.3 the provision of incorrect or incomplete personal information to SANSA.
- WHAT PERSONAL INFORMATION DO WE COLLECT?
3.1 SANSA may collect the following personal information about you:
3.1.1 your name, address, contact details, date of birth, place of birth, identity number, passport number, bank details, language, gender, information about your child/children or any child that you have legal guardianship over, your beneficiaries, employment details, education details, tax number, marital status, pregnancy, well- being and financial information;
3.1.2 records of correspondence or enquiries from you or anyone acting on your behalf;
3.1.3 details of your transactions with us;
3.1.4 details of you made available on social media;
3.1.5 details of contracts that you enter into with us and carry out with us; and/or
3.1.6 special personal information that includes race or ethnicity, criminal behaviour, information about your health and biometric information such as photos, fingerprints and/or voiceprints.
3.2 When you use this website, the SANSA collects the following personal information automatically (this will always be recorded without you having to do anything):
3.2.1 your IP address, browser and operating system information;
3.2.2 the date and time that you accessed our website;
3.2.3 your geographic location and the pages you view while using the website; and
3.3.4 any search terms you use when using the website’s search functionality.
3.3 In addition, SANSA collect any personal information that you voluntarily provide to the SANSA, for example, by submitting a CV, subscribing to a newsletter or making an enquiry.
- WHAT DO WE DO WITH ERSONAL INFORMATION
4.1 The information SANSA collects automatically is to help SANSA to improve the functionality and content of its website.
4.2 The information SANSA collects that you provide voluntarily is to provide you with a service or facilitate a function where your personal information is required to provide the service or fulfil the function.
4.3 SANSA may use, transfer and/or disclose your personal information for the purposes of:
4.3.1 providing you with the information, products and/or services that you have requested, and notifying you about important changes to these products and/or services;
4.3.2 managing your account or our relationship, and complying with your instructions or requests;
4.3.3 detecting and preventing fraud, money laundering and terrorist financing risk in the interest of security and crime prevention;
4.3.4 assessing and resolving complaints;
4.3.5 complying with operational, marketing, auditing, legal and record-keeping requirements; and
4.3.5 verifying your identity and/or that of your beneficial owners.
- WHO DO WE SHARE PERSONAL INFORMATION WITH?
5.1 SANSA shares the personal information you provide voluntarily and the personal information SANSA collect automatically, differently.
Personal information provided voluntarily:
5.2.1 SANSA does not share this personal information with third parties, unless SANSA has a justifiable reason to do so. Typically, the third parties who will have access to your personal information are the contracted parties who assist us with the development of the website, IT maintenance and SANSA related operational matters.
5.2 In certain circumstances, SANSA may be forced by law to share your personal information, for example, when served with a court order or other valid request from a lawful authority.
5.3 In other circumstances, SANSA may share personal information that has been anonymised and it would be impossible to link the information to a specific individual.
Personal information collected automatically:
5.4 Some of the personal information that is collected automatically is collected by third parties whose technology SANSA use to provide website functionality and acquire website analytics information. In addition, if you make use of the social media sharing buttons on the website, your information will be automatically collected by the social media company that you use to share content.
- HOW DO WE COLLECT PERSONAL INFORMATION?
6.1 With regard to the personal information SANSA collect, SANSA make use of a number of technologies that collect personal information automatically:
6.1.1 Cookies:
Cookies are small files that are saved onto your computer, which track, save and store information about how you use this website. In some instances, these cookies are needed for the website to function. You can disable them in your browser, but this may interfere with the proper functioning of the website.
6.1.2 Google analytics:
This is tracking software from Google, which SANSA use to monitor how users interact with the website, in order for us to improve its functionality and content.
6.1.3 Web-server software:
This delivers web pages to your browser. The web-server software will automatically collect your IP address whenever you connect to the website.
6.1.4 YouTube:
This is software used to display videos. SANSA does not collect personal information from you by placing these videos on our site or through you viewing them, but Google Inc. (which owns YouTube) collects personal information when videos are placed on webpages.
6.1.5 AddToAny:
This is software that is used to place social media buttons on our website, which allows you to share content on our website through social media. SANSA does not collect personal information by placing these buttons on our site, but the AddToAny Company does.
6.1.6 Social media platforms and external links
This website may make use of social media platforms, such as Facebook or LinkedIn, Instagram. Whenever you make use of any such platforms on this website, please note that any personal information you share on these platforms is subject to their privacy policies and not SANSA.
This website may also contain links to external (non-SANSA) websites. Whenever you click a link and are taken to an external website, note that your use of these websites is governed by their privacy policies and not SANSA.
6.1.7 Live events and web conferences
The SANSA hosts many events throughout the year. These include conferences, school visits, demonstrations, etc. If you register for one of our events, SANSA will collect your name and contact information, which SANSA will store in our database(s) and use to provide you with information and services associated with the event. SANSA process this information to fulfil the order you have made to receive the event or conference services.
If you are a presenter at one of our events, SANSA will collect information about you, including your name, employer, contact information and photograph; and SANSA may collect information provided by event attendees who evaluated your performance as a presenter. SANSA may also make and store a recording of your voice and likeness in certain instances. The SANSA relies on a legitimate interest basis for collecting, storing and processing this information.
SANSA keep a record of your participation in SANSA events as an attendee or presenter. This information may be used to provide you with information about other events and publications.
- CORRESPONDENCE WITH SANSA
7.1 If you correspond with us by e-mail, the postal service or another form of communication, SANSA may retain such correspondence and use it to respond to your inquiry; to notify you of SANSA conferences, publications or other services; or to keep a record of your compliment, complaint, accommodation request and the like. As always, if you wish to have the SANSA ‘erase’ your personal information or otherwise refrain from communicating with you, please contact us at information@sansa.org.za
Note: If you ask SANSA not to contact you by e-mail at a certain e-mail address, SANSA will retain a copy of that e-mail address on its “Do Not Contact” list, in order to comply with your no-contact request.
7.2 SANSA has a legitimate interest in maintaining the personal information of those who communicate voluntarily with it.
8 SECURING INFORMATION
8.1 SANSA takes reasonable care to protect your personal information using reliable information security safeguards. However, you should be aware that no safeguards are 100% effective all of the time. Therefore, it is possible that your personal information may inadvertently be accessed by unauthorised or unknown persons if these safeguards be defeated or fail.
9 RETENTIONS OF YOUR PERSONAL INFORMATION
9.1 SANSA will retain your personal information indefinitely unless you object, in which case SANSA will only retain it in accordance with retention periods as outlined in applicable legislation, or for longer if SANSA need to retain it for a lawful purpose (e.g., for the purposes of complaints handling, legal processes and proceedings).
- CHANGES TO THIS PRIVACY NOTICE
10.1 SANSA may amend this Privacy Notice at any time. All amendments shall be posted on this website. Unless SANSA state otherwise, the current version will replace all previous versions of this notice. It is your responsibility to check for changes each time you visit the website.
10.2 As an organisation, SANSA needs to process personal data, in order to carry out tasks related to our business activities. The processing of personal data in this context may not necessarily be justified by a legal obligation or carried out to execute the terms of a contract with an individual. In such cases, the processing of personal data can be justified on grounds of legitimate interest.
10.3 SANSA may amend this Privacy Notice from time to time for any of the following reasons:
10.3.1 to provide for the introduction of new systems, methods of operation, products, services, offerings or facilities;
10.3.2 to comply with changes to any applicable legislation;
10.3.3 to ensure that this Privacy Notice is clearer and more favourable to you;
10.3.4 to rectify any mistake that may be discovered from time to time; and/or
10.3.5 any other reason which SANSA, in its sole discretion, may deem reasonable or necessary.
10.4 Any such amendment will come into effect and become part of any agreement you have with SANSA when notice is given to you of the change by publication on our website (www.sansa.org.za). It is your responsibility to check the website frequently.
- COMPLAINTS
Should you believe that SANSA has used your personal information contrary to applicable legislation, you undertake to first attempt to resolve any concerns with SANSA. You may lodge a complaint by sending us an email to information@sansa.org.za or by submitting an online complaint on our website.
