The following opportunity exists in the Earth Observation situated in Pretoria, Gauteng to be filled by an individual with the relevant skills, drive, competencies, qualifications.

The successful candidate will: Manage telephone response – receive telephone calls, organise, and prioritise calls, re-route or assist callers – and correspondence (letters, packages etc.) •Co-ordinate and arrange management’s travel and ensure itinerary is approved in accordance with organization policy and procedures •Support management with travel reconciliations and claims – ensure travel reports are submitted on time  •Primary contact in the EO Programme for visitors •Welcome visitors and direct them to the relevant office/personnel• Liaise with internal and external stakeholders – arranging meetings and general information as requested• Organize and facilitate staff meetings• The Office Administrator is required to provide office, events and general support to the EO management and Programme office •Prepare and circulate staff meeting documents on time •Keep stock of office suppliers, consumables and stationery, and place orders as necessary in liaison with Facilities team •Provide   administrative support – manage files, records and documents such as contracts in support of the Programme Management Office and project management teams •Prepare event invitation, distribute and maintain RSVP and attendance list •Prepare event programme in consultation with Management or relevant team members •Distribute the agenda to identified internal and external stakeholders •Source and book appropriate venues• Ensure that all equipment for meetings are available• Distribute all necessary documentation prior to the event and ensure all requirements are available on the day of event •Ensure information about the event – dates, venue and programme – is reflected correctly in the event website• Create and implement delegates packs for events• Implement and maintain travel and events policy •Coordinate and support various parties involved in events and manage administrative elements of the events •Ensure procurement, invoices and claims.

The ideal candidate will have following requirements: A National Diploma in Office Administration• 2 years working experience in Secretarial/Office Administration or related field •Knowledge of MS Office •Good command of English language. •Good interpersonal and communication skills •Ability to work under pressure •Self-motivated •Problem solving skills and be proactive.
